AS IS Functional specification tools needed

I’m working on a transition project. The client is moving the majority of their IT and helpdesk to our cloud environment. I’m on the team that will document the function of existing applications and processes used to support the applications

One of the applications is developed in-house. There is NO documentation of any help in existence, so I’ve been tasked to document it. The system architect in our team names this deliverable a “functional specification”. I’m not sure how to approach it.

Here’s a description of the application.

  • Marine Management Service (MMS) (not its real name) is a web portal that manages maintenance requests for marine craft.

  • Requests are made by clients or by the call centre staff e.g.

- a client will log in to the portal and request an outboard motor service or

- a client will phone the call centre and the helpdesk staff will log in to MMS and make the request

  • There are activity reports available from the portal

  • The system interfaces with an invoicing system, drawing invoices for requests.

Can you tell me the time honoured tools I’ll need to document all this?? Any good resources\templates?
