Gathering users requirements for building a document management system
I am working in a company and we want to implement a document management system. so i as a software engineer will handle the requirement gathering . So as the document management system is somehow standard so the main requirement will be as follow:-

1. what are the document hierarchy for each department for example in the financial department they might have the following hierarchy:-

Financial department

- Annual report

o 2013 reports.

o 2012 reports.

o Etc....

- Employees loans

o Bank A

o Bank B

o Etc...

2. Second requirement will be regarding the users permissions , for example who can add documents, edit document, delete document under each department.

So to be able to provide an agile and reliable approach to do the requirement gathering i am planning to do the follow:-

1. I will held a meeting with the departments mangers; where i will describe what i am planning to build with some screens shots regarding a sample of what the document magement system is.

2. Secondly i am going to forward a document for each department manager to specify the following:-
- What are the document categories hierarchy they like to have?
- Specify the user names who can add, edit , delete, view the department documents?

Is the above approach considered an accurate method to follow, or it will not be a professional way to do a requirement gathering?

Let the stakeholders drive the requirements.   You do not want to start of by boxing them into a solution.

Secondly i am going to forward a document for each department manager to specify the following:-
- What are the document categories hierarchy they like to have?
- Specify the user names who can add, edit , delete, view the department documents?

FIRST you want to know, per department, who uses what data and how.    THEN create your doc hierarchy and define your user rights.

Re: Gathering users requirements for building a document management system

Something else you might want to consider after gathering the initial set of requirements is to make them available for review in a format that supports collaboration (which could be something simple such as Google Docs, or as complex as a requirements management system) rather than a traditional Word/Excel document, which is cumbersome email around and can get out of sync quickly.
