Cost and Time 

what available tool or method  to analyse cost and time, or method.

I am appointed to make reporting about time which done by staff in troubleshooting and cost in each activity. can someone help me?

 Hi Qer,

In terms of method - Six Sigma specialises in this kind of process step performance analysis, but as always it depends on what is wanted from the people who are supplying you with this information and those who want to use it. They probably have some idea of the level of detail you need to collect stats at. Unless you are working in a Six Sigma environment then it is unlikely to be useful - so you will have to analyse what is required and then plan to produce it to that level.

In terms of tools I don't have any special knowledge I'm afraid. However, the tool you choose should be dictated by the level of detail that is required. Note that a lot of CASE tools such as ProVision allow you to model processes and them run simulations to project the impact of changes to the process in terms of time and cost, but there simulations kind of assume you already know the time and cost of each process step, but I guess you could use them to record such information as well...

Hi Qer,

It would really help if you could provide additional information on your task such as:

  • what type of activities you're trying to track or measure,
  • when is your report expected to be completed,
  • is there any existing data available regarding the cost and duration of the tasks,
  • etc.

thank you adrian,

 

type of activity  are  installation and troubleshooting / maintenance

expected reporting /month

data for each activity was recorded in our  inhouse application helpdesk,

but I have no service's cost data (troubleshooting or  installation).

 I have made into ms excell to activity category, but I have problem how link by time.

Take a look at the concept of Activity Based Costing.

The first thing you want to do is know what to measure.  Work this out by asking the manager for a list of reports he/she produces for management and for their key performance indicators (KPIs).  This is a cue to what is considered important.

 

Now, how can you measure these things? Is there an electronic ticketing system? If so get the reports on number of jobs by type, elapse time and so on.  If not consider getting 2-3 people to conduct a tracking exercise for 2 weeks to generate the numbers.  You can find measurement tools online or use excel or paper.  (You will have to ask them what to measure to start with.)

This is a few starter ideas.  Let us know how you go.
