Hi Lisa,

From this and other posts, it looks like your title is "Systems Analyst" involved in the maintenance of an existing invoicing application, correct?  From the title, my guess is that you are responsible for creating the functional specifications to be given to the developers.

Your approach would differ somewhat depending on whether the existing application is well documented or not.  If existing documentation exists (functional specs) then you can simply modify those documents to reflect the new requirements, high-light the changes, and give the updated docs to the developers.  If existing documents do not exist and you can't re-create full specs then you'll be giving the development team change requests as deltas of what the application currently does.

Are you responsible only for the functional specifications or also for understanding the business needs, talking to the stakeholders, and documenting the requirements?  Another way of putting this, where are the requirements coming from?
